Cold Email Software Pricing: What Should You Actually Pay For?

The Sendvanta Team · October 6, 2026 · 9 min read

For most teams, the sending app itself should cost $29–$99/month. Expect your real total to be 2–4× that once mailboxes, domains, and email verification are added. Pay for deliverability controls, unlimited mailbox connections, and honest reply data. Don't pay per seat, per email sent, or for bundled lead databases you won't use.

Cold email pricing pages are built to make comparison hard. One vendor charges per "active lead," another per sending slot, a third per seat with a separate warm-up add-on. The headline number is rarely what you pay. This guide breaks the bill into its real components and tells you which ones are worth money.

The four pricing units — and which one punishes you

Almost every cold email tool bills on one of four units. Knowing which one you're on tells you how your bill will behave when you grow.

Per active lead. You pay for contacts currently inside live campaigns. This scales roughly with the work you're actually doing and is usually the fairest model for outbound. Watch the definition of "active" — some vendors count anyone uploaded, ever.

Per email sent. Predictable at low volume, brutal at scale. A team sending 1,000/day is at 20,000–22,000 emails a month; volume tiers climb fast and you end up rationing follow-ups, which is exactly where most replies come from.

Per mailbox slot. Common with agency-focused tools. If a vendor charges $2–$5 per connected mailbox on top of the base plan, a 30-mailbox setup adds $60–$150/month before you've sent anything.

Per seat. Fine for a 12-rep SDR org with a manager who needs reporting. Terrible for a three-person founding team where everyone occasionally logs in. If you're paying $39–$100 per person just so your cofounder can read replies, you're on the wrong plan shape.

Sendvanta

Best for: founders, small sales teams, and agencies who bring their own mailboxes and care more about inbox placement than feature count.

Sendvanta bills on active leads and monthly email volume, and connecting your own Gmail, Microsoft 365, or SMTP/IMAP mailboxes is free on every plan — including the free one. The free tier is genuinely usable for a first campaign: 1,000 active leads, 3,000 emails/month, and up to 10 of your own SMTP mailboxes at once, no credit card. Paid plans are Starter $29/mo, Growth $59/mo, Pro $99/mo, Enterprise custom. If you don't want to buy and configure Workspace seats yourself, paid plans can add managed mailboxes at $4/mo each and register a sending domain for a one-time $20.

What you're paying for beyond sending: layered deliverability health scoring across mailbox, domain, DKIM, and IP that slows or pauses sending when risk thresholds are crossed; SpamAssassin scoring of drafts before send; seed-mailbox inbox-placement tests; warm-up that uses real labeled conversations inside your own workspace; and engagement classification that separates verified human replies and visits from security-scanner clicks. See /features for the full list.

Honest limitation: Sendvanta doesn't sell leads and never routes mail through shared IPs, so you bring your own list and your own (or managed) mailboxes. If you want a tool that hands you contact data and a sending engine in one subscription, this isn't it. It's also lighter on multichannel — no LinkedIn or dialer steps.

Free workspaces may be suspended after a month of inactivity, so the free plan is for people actually running campaigns, not parking an account.

Smartlead

Best for: agencies running dozens of client workspaces with heavy mailbox rotation.

Published pricing starts around $39/mo, with higher tiers built around larger lead counts and more connected mailboxes. The unified master inbox and sub-account structure are solid for agency work, and the API is mature.

Honest limitation: costs climb steeply as mailbox counts grow, and warm-up is pool-based — your mailboxes exchange mail with other customers' mailboxes rather than inside your own workspace. If you want the side-by-side, see /compare/smartlead.

Instantly

Best for: teams that want sending and a bundled B2B lead database on one invoice.

Published pricing starts around $37/mo for sending, with lead credits and verification sold as separate add-ons. The bundling is convenient if you don't already have a data source.

Honest limitation: the add-on structure means the headline price rarely reflects what you pay. Lead credits, verification, and higher sending tiers stack. If you already own your list, you're subsidizing a database you won't open.

Lemlist

Best for: multichannel sequences where email is one step among LinkedIn touches and calls.

Published pricing starts around $39 per seat per month, with higher tiers unlocking multichannel and advanced personalization. The image and landing-page personalization features are genuinely differentiated.

Honest limitation: per-seat billing gets expensive fast for small teams, and multichannel is only worth paying for if someone will actually execute the LinkedIn steps. Most teams buy it and run email only.

QuickMail

Best for: small teams who want straightforward sequencing with inbox rotation and no ecosystem lock-in.

Published pricing starts around $49/mo based on emails sent and connected mailboxes. Reliable, unflashy, good deliverability reporting.

Honest limitation: email-volume billing means follow-ups cost you, and the feature set hasn't moved as fast as newer tools on bot-aware engagement data.

Apollo and Outreach: different products, different budgets

Apollo is a prospecting database with sending attached. Free tier exists; paid plans start around $49/user/mo and credits govern how much data you can pull. Pay for it if your bottleneck is finding contacts, not sending to them.

Outreach is quote-based enterprise sales engagement — sequencing, forecasting, CRM governance, conversation intelligence. Realistic entry points are well into five figures annually. Pay for it when you have a RevOps function and compliance requirements, not when you have four SDRs. See /compare/outreach for the shape of that trade-off.

The line items that actually move your bill

The app subscription is usually the smallest number on the invoice. Here's the rest:

  • Mailboxes. Google Workspace runs roughly $7–$8/user/mo; Microsoft 365 Business Basic is similar. Twelve mailboxes is $85–$100/month — more than your sending software. Managed mailboxes from a vendor (Sendvanta charges $4/mo each) are cheaper per unit but you own less of the setup.
  • Domains. $10–$15/year each from a registrar, or a one-time $20 through Sendvanta. Three secondary domains is noise in the budget. Thirty is $400/year plus the DNS work.
  • Email verification. $0.004–$0.01 per address depending on provider and volume. Verifying 20,000 contacts a month is $80–$200. Non-negotiable — unverified lists are the fastest way to a bounce-rate problem.
  • Warm-up. Bundled free in some tools, $5–$15 per mailbox per month in others. At 20 mailboxes, a paid warm-up add-on can be $100–$300/month on its own.
  • Lead data. $0 if you build lists yourself, $49–$199/mo for a database seat, or per-record for one-off purchases.

A realistic monthly total for 1,000 emails a day

At a safe 40–50 emails per mailbox per day, 1,000/day needs roughly 20–25 mailboxes (the math is broken down in how many mailboxes you need to send 1,000 cold emails a day). Here's what that costs:

  • Sending software: $59–$99/mo
  • 22 mailboxes on Google Workspace: ~$165/mo (or ~$88/mo as managed mailboxes at $4 each)
  • 6 secondary domains: ~$7/mo amortized
  • Verification for ~22,000 addresses: ~$110/mo
  • Warm-up: $0 if bundled, up to $220/mo if charged per mailbox

Realistic range: $340–$600/month all-in, with the software itself accounting for 15–25% of it. That ratio is the point. Optimizing from a $59 plan to a $39 plan saves $240 a year. Choosing a tool whose warm-up is bundled instead of $10/mailbox saves $2,640.

What's not worth paying for

Bundled lead databases, if you already have a list. You're paying monthly for coverage you'll check twice.

Per-seat pricing under six people. Find a tool that charges for work done, not logins.

Open-rate-based reporting dashboards. Opens are inflated by security scanners and image proxies. Paying extra for prettier charts built on bad data is a negative-value purchase.

Premium warm-up pools. Mailbox-to-mailbox pools with thousands of strangers' accounts are increasingly pattern-detectable. Warm-up that generates real, labeled conversations inside your own workspace costs the vendor more to build and should be bundled, not upsold.

Unlimited mailbox tiers you won't fill. Buying the agency plan for 200 mailbox slots when you run 18 is the most common overspend in outbound.

Where Sendvanta sits

Sendvanta's pricing is built around the assumption that your mailboxes and leads are yours. Connecting mailboxes is free at every tier, warm-up and deliverability scoring are included rather than sold as add-ons, and the free plan ($0, 1,000 active leads, 3,000 emails/month, 10 SMTP mailboxes) is enough to run a real first campaign before you pay anything. If you'd rather not provision Workspace seats, managed mailboxes are $4/mo and a sending domain is a one-time $20 on paid plans. Starter is $29/mo, Growth $59/mo, Pro $99/mo.

Whether you rent mailboxes or build them yourself changes the math more than the software choice does — that trade-off is covered in buy email accounts vs. warm up your own.

How much should cold email software cost per month?

For a team of one to ten, $29–$99/month for the sending platform is the normal range. Below $29 you're usually on a free tier with real limits; above $99 you're paying for agency-scale mailbox counts, seats, or bundled lead data. Your all-in cost including mailboxes, domains, and verification will typically be 2–4× the software price.

Is free cold email software good enough to start?

Yes, for a first campaign. A free plan with around 1,000 leads and 3,000 emails per month lets you test positioning, sequence structure, and deliverability before committing. You'll outgrow it the moment you need more than a few hundred sends a day, but by then you'll know whether the tool is right.

Why do cold email tools charge per mailbox?

Each connected mailbox costs the vendor in OAuth refreshes, IMAP polling, warm-up traffic, and reputation monitoring. It's a legitimate cost driver — but it also means mailbox-slot pricing scales against you. Tools that include unlimited connections of your own mailboxes shift that cost into the base plan instead.

Should I pay separately for email verification?

Usually yes, and it's worth it. Verification runs $0.004–$0.01 per address. Skipping it pushes bounce rates past the 2–3% danger line and damages domain reputation, which costs far more than the verification bill to repair.

Is per-seat pricing ever worth it?

When you have six or more people who need their own sequences, quotas, and reporting — and ideally CRM sync and permissions. Below that, per-seat pricing mostly charges you for access, not usage.

Methodology: pricing and plan structures were reviewed from vendors' public pricing pages and product documentation in February 2026; competitor figures are described as published starting prices because tiers, add-ons, and annual discounts change frequently — verify before you buy.
